(HEO8) $110,291 to $123,734 per annum plus an employer contribution of 17% superannuation will apply.

Based in the Integration Management Office (IMO) in the Legislation and Academic Governance Domain in the Adelaide CBD.

Full-time fixed term contract until 31 December 2025.

We are seeking a Project Manager to contribute to one of the largest changes to higher education in Australia over the past 30 years and help shape the new Adelaide University.

About the role 

As the Project Manager in the Legislation and Academic Governance Domain, you will be responsible for overseeing the planning, execution, and successful completion of a transformational project related to the creation of the new Adelaide University. This project is charged with the development of a new policy suite to operate Adelaide University.

The project centres on the creation of policy documents required by all Domains in three categories, Academic, Council and Corporate.  Each policy document requires complex management through pre-determined approval pathways, governance forums with dependencies and critical path management with Domain and IMO leadership.

This is a hands-on role, and it will involve collaborating with cross-functional teams both within IMO, The University of Adelaide and University of South Australia, and managing tasks for the policy team, reviewing project resources, and ensuring projects are delivered within scope, schedule, and budget. 

Core Responsibilities 

Project Planning: Collaborate with the Policy unit to ensure project scope, objectives, and deliverables are readily monitored. Develop and maintain a comprehensive work plan to deliver the policy suite, outlining tasks, timelines, and resource requirements. 

Reporting: Ensure reporting templates are created, maintained and readily available to match internal expectations (aligned to policy writers’ portfolio) and external stakeholder expectations.  Prepare weekly project meetings with Senior Project Lead and Senior Manager of Policy unit showing dashboard reporting.

 Resource Management: Working with the Senior Project Lead and Senior Manager to identify the necessary resources with gap analysis and forward planning (including team members), materials, and equipment, to execute projects efficiently and effectively.  

Team Collaboration: Work collaboratively with the Policy Unit in providing proactive directions on task management in a “no surprise” methodology. It is expected that there is a cohesion with the project team to jointly achieve deliverables. Directional lead to be taken from Senior Manager to support performance expectations and timelines whilst fostering a collaborative environment that encourages creativity and productivity.  

Risk Management: Assist project team in managing a risk and issues register that identifies potential risks and issues with contingency plans to mitigate their impact on project timelines and outcomes. Proactively address challenges and solve problems that may arise during project execution.

Quality Assurance: Work with the Policy Unit to ensure projects meet the IMO’s quality standards and comply with relevant regulations and industry best practices.  

Change Management: Address changes in project scope or objectives and assess their potential impact on timelines and resources. Implement change management strategies as needed.  

Documentation: As a priority, maintain accurate and up-to-date project documentation, including project plans, progress reports, meeting minutes, and post-project evaluations.  Action trackers, meeting follow up and comprehensive forward planning of stakeholder collaboration is to be maintained in real-time.

Essential Skills and Experience

  • Relevant tertiary qualification and/ or extensive project management experience.  
  • Excellent project management skills with a proven record of successfully managing all aspects of large-scale and complex projects through to completion, in accordance with project management methodologies, standards, timeframes and budgets.  
  • Ability to critically evaluate information gathered from multiple sources, reconcile conflicts, synthesise broad data and analyse at a detailed level.  
  • Highly developed analytical and problem-solving skills, with demonstrated ability to identify emerging issues, trends and opportunities and provide insightful recommendations and advice.  
  • Excellent leadership and communication skills, with the ability to influence and inspire cross-functional teams and work in collaboration with other teams.  
  • Highly developed relationship management and consulting skills, including the ability to interact, influence and negotiate with a wide range of stakeholders to achieve successful outcomes.  
  • Excellent communication, presentation, and interpersonal skills, both written and verbal, including preparation of briefing papers and submissions and producing management documents.  
  • Exceptional administration, organisational and time management abilities, capable of handling multiple projects simultaneously, taking minutes and agenda in real time.
