Are you a proactive and detail-oriented admin professional looking to make an impact in the world of AI and machine learning? We have an exciting opportunity for an Executive Assistant & Admin Support Officer to join the Australian Institute for Machine Learning (AIML) - Australia’s leading research institute in artificial intelligence, machine learning, and computer vision.

In this dynamic role, you’ll provide high-level executive and administrative support to AIML’s Chief Scientist, The Centre for Augmented Reasoning (CAR), as well as the AIML Senior Executive Team as required. You will be part of a broader team that provides support across a range of functions, from managing calendars and travel arrangements to coordinating meetings and events. You’ll also handle correspondence and document preparation as required.

This is a varied and fast-paced position where you’ll work closely with world-class researchers and leaders in a truly innovative environment.

AIML is home to over 200 academics, researchers, and students, making it the largest group of its kind in Australia. CAR is a $20 million initiative focused on advancing human-computer interaction, making technology more intuitive and accessible. Funded by the Department of Education, Skills and Employment, CAR supports advanced research, PhD scholarships, commercial innovation, and public engagement in AI and is one of several centres that sit within AIML.

To be successful you will need:

  • Demonstrated ability to provide a high standard of confidential executive assistance to  senior executive(s) including diary, email and travel management and administrative support to a business unit, including simple finance and personnel administrative duties.
  • Relevant experience in a complex organisation requiring communication and collaboration with diverse internal and external stakeholders.
  • Excellent written and verbal communication skills, including the ability to write communications for diverse audiences.
  • High-level interpersonal skills and the capacity to maintain effective relationships with all stakeholders.
  • Demonstrated ability to work independently and collaborate effectively as part of a team to achieve individual and team goals.
  • Demonstrated some event planning experience.
